The Ultimate Cold Email Template That Books Over 1,000 Meetings

Cold emailing is one of the most effective ways to generate leads and book meetings - if done right.

This cold email framework structure helps our sales team to book over a thousand meetings, and it’s worked consistently for years.

Not just for my agency, but also for dozens of my clients across industries like software development, website design, graphic design, virtual assistant placement, coaching, consulting, and more. In this article, I’ll break down the best cold email template and show you how to use it for your business.

The template is divided into two main parts, each with four sections:

  1. The Subject Line
  2. The Body Copy – where we convey our offer and build enough trust to get the prospect to book a call.

Let’s dive in!

The Subject Line

The subject line is your first impression, and it’s critical to get it right. Here are a few key rules to follow:

  1. Don’t Be Misleading: Avoid clickbait-style subject lines like “Problem with your website” or “Issue with your ads.” While they might increase open rates, they’ll hurt your credibility and likely get your emails marked as spam.
  2. Avoid a Newsletter Tone: Your subject line shouldn’t sound like a mass email. Instead, make it feel personal. Skip generic lines like “Top 5 reasons to…” or “Here’s what you need to know.”
  3. Make It Conversational: Think about how colleagues email each other. Something simple like “Idea for [First Name]” or “About this…” works well. Keep it casual and personal.
  4. Use Their First Name: Personalization matters. Including the recipient’s first name can significantly boost open rates. We’ve tested this, and it works every time.

With these rules in mind, let’s move on to the body of the email.

The Email Body

The body of the email is where the magic happens. I break it down into seven key sections, each playing a crucial role in converting your prospect.

Section 1: Segmented Introduction

Start by showing you’ve done your homework. This section is all about personalization and can be broken into two categories:
Emotional Segmentation: Highlight a personal connection. For example, “Hey [First Name], I saw you're also from [Location]. Small world!”
Logical Segmentation: Focus on business-specific insights. For instance, if they’re running ads, mention how you can help them improve ad performance.

Section 2: Pain Point

Identify a specific pain point your prospect is facing. Be precise. For example, if you know their ad performance is struggling, call that out. Avoid addressing too many issues at once—focus on one problem to keep their attention.

Section 3: Solution

Now, present your solution. How can you solve their pain point? Keep it simple and specific. If you offer multiple solutions, stick to one in this email. You can always test others later.

Section 4: Call to Action (CTA)

Ask the prospect to take the next step. Make it easy for them—whether it’s scheduling a call, requesting more info, or simply replying to your email. Avoid overwhelming them with too many options.

Section 5: Signature

Include a professional signature with your full name, position (e.g., Founder or Owner), company name, and a local address (if applicable). If you’re open to phone communication, add your number too.

Section 6: PS Line

Many people read the PS line first, so use it wisely. Highlight social proof, like client reviews or a case study. For example: “PS: If you want to see what our clients have to say, check out over 75 reviews here.” This builds trust and sets you apart from competitors.

Section 7: Unsubscribe Option

Always include an unsubscribe option. While I’m not a lawyer, it’s a good practice to stay compliant with email laws. A simple “Reply to unsubscribe” works well.
